University Advisor, Director of International Student Advising Support

Job Summary:
Reports to the Associate Vice Provost & Dean of Academic Student Services. The University Advisors of the new Center for Academic and Student Achievement (CASA) represent the key resource in the University’s advising and student support system, by serving a university-wide undergraduate population of 5,838 students. Advisors work in partnership with faculty and other staff members of the University in support of the developmental advising and integrated education models. In this context, advisors work as generalists to advise all students seeking an undergraduate degree in their program of study.
As a member of the larger staff in Student Life, each University Advisor supports student development in the Jesuit Catholic tradition. The mission of Student Life is to fully support holistic student development within a social justice framework centered in preparing students to be caring, socially responsible citizens in our global and local community.
In addition to generalist responsibilities, each University Advisor will be responsible for specific student cohorts and portfolios within the Center. Each University Advisor will be responsible for a caseload of approximately 400 students. The advisor carries out this responsibility in collaboration with other staff and advisors in the Center, with other offices on campus (e.g. Admissions, One Stop, Financial Aid, ORL, OSCRR, CAPS, SDS, Career Services), and with the leadership of student organizations whenever appropriate.
Job Responsibilities:
Specific Duties:
Provide general academic advising and referral to new, transfer, and continuing students employing a developmental and culturally appropriate framework and methodology. Advisors work with students in areas like the following:
- Inquiries about University policy and curriculum requirements
- Discussing options for declaring majors and minors
- Discussing changes of advisor
- Handling and/or directing referrals to/from faculty and other offices
- Providing and supporting others (faculty, staff, peer advisors) with effective advising, information, and referrals for undeclared students (e.g. be informed of all the University’s departments – program requirements, changes, etc.)
- Supplementing and/or explaining and refer to department advising resources
Collaborate with other offices on campus to help students meet their academic goals. Working within the University’s Advising framework, Advisors work with other offices on campus in areas like the following:
- Working with the Graduation Center, One Stop, and Registrar’s Office to assist with class registration, clarify transcript issues, adjudicate problems related to graduation checks;
- Working with Financial Aid to clarify student’s class standing, decisions about academic programs and progress as they relate to financial aid packages, etc.;
- Working with the Office of Residence Life and Office of Student Conduct Rights and Responsibilities regarding support for students experiencing academic and behavioral difficulties, and to develop Center outreach programs (e.g. residential learning communities);
- Working with the Priscilla A. Scotlan Career Services Center on advising students, particularly undeclared students and undecided students;
- Working with Dean’s Offices on advisor assignments, new faculty workshops, etc.
Work with faculty advisors to help students with advising and related problems. Within the University’s Advising framework, Advisors work with faculty in areas like the following:
- Collaborate with faculty advisors on key issues related to their assigned advisees (e.g. questionable overload requests, probation, disqualification);
- Provide faculty with information and resources to advise students effectively;
- Discuss and resolve problems related to advisor assignments;
- Help faculty communicate problems early to Center Staff.
Work as part of a team with other Center staff on common projects like the following:
- Assisting in planning, implementation, and evaluation of Orientation and New Student Programs throughout the academic year, and during summer
- Major/Minor Fair and workshops
- Academic and Student Success Workshops
- Collaborating with appropriate University offices to facilitate effective outreach to specific student cohorts (e.g. students with disabilities, first generation, undecided/exploratory students)
- Monitoring and building consistent and reasonable “case law” or precedents, etc. regarding policies and standards
- Participating in assessment of the University’s faculty-based advising system and related faculty development efforts
- Helping the Center take leadership in defining and refining operations, policies, etc. related to advising and academic support for the University
- Pursuing professional development opportunities (e.g. : NACADA conference and journal;AAHE/ERIC research literature on advising; etc.) for the purposes of improvising advising skills and providing resources for University staff and faculty development efforts
- Cross-training with other staff in the Center, including other University Advisors, and the Resident Advisors and Resident Directors
- Providing drop-in services to any student, make accurate assessments of a student’s needs, and make effective referrals within and beyond the Center
Portfolio:
Study Abroad:
Essential Responsibilities
- In collaboration with the Center for Global Education, provide academic advising for students who apply to study abroad
- Ensure that students qualify for study abroad programs by reviewing GPA and transcript
- Assist in course selection for transfer credit and refer students to appropriate departments for further approval of courses
- Represent the Center at Study Abroad Departure Meetings/Orientations
Jesuit Exchange:
- Jesuit Exchange Student Advisor
Essential Responsibilities
- Serve as primary contact for Jesuit Exchange students
- Advise and adhere to prerequisites on course selections
- Provide course information via email
- Register students for semester courses
- Approve Learning Agreements for students and their institutions
- Provide Admission Letters to students
- In collaboration with Center for Global Education staff, provide academic advising and support to JEEP students
International Students:
- International Student Academic Advising and Support Services
Essential Responsibilities
- Collaborate with International Student and Scholar Services, International Relations, Multicultural Student Services, etc. on establishing a welcoming experience for international students
- Facilitate residence hall/room allocations, if necessary
- Serve as liaison with the Learning and Writing Center
- Develop programs to promote a positive transitional experience to USF
- Provide follow-up with academically at risk students via email and phone
- Monitor first semester freshmen by meeting with the students regularly and providing assistance where needed
Other Responsibilities:
Responsibilities in the Center will involve some evening and weekend assignments; and advisors will be expected to work in a variety of locations across campus, including offices, classrooms, residence halls, library, and other student facilities.
Minimum Qualifications:
- Master’s degree in an academic discipline or student affairs area preferred, Bachelor’s degree required;
- Multilingual speaker required, including fluency in Mandarin;
- ability to assume part-time duties in a related academic or student affairs department preferred;
- knowledge and experience working with students of diverse backgrounds essential;
- 3-5 years experience in an advising-related capacity;
- a willingness to respect and actively support the goals and visions of Jesuit education in general and the University of San Francisco in particular;
- excellent written and oral communication skills are required for interaction with a variety of individuals (students, parents, faculty);
- required computer skills including word-processing, e-mail, and ability to learn web-based and database advising applications;
- demonstrates proficiency in the use of learning technologies;
- effective as an advisor on an individual and/or group basis;
- proven ability to interact effectively and professionally with students, faculty, staff and administrators from diverse backgrounds.
